Office Manager (181jc) – Central London – Excellent Package


My client, who are a truly global manufacturing company with a pair of offices in Kingsbridge and Chelsea are now looking for an Office Manager to take day to day control of the two sites.


You will be reporting to the Property and Services Director, and you will have full day to day management of the maintenance team and contracts associated with the London Office buildings. Resolving any issues with the day-to-day operation of the buildings.  The role will also provide management support to the Facilities Manager to ensure legal compliance is delivered as well as implement a Buildings Management strategy to satisfy legislative requirements and meet business goals for HSE, cost, schedule, and quality.


Therefore, your accountabilities will include:

·         Manage day to day activities within the London office buildings and resolve any issues which may arise.

·         Deliver SHE requirements to meet legislation including communication etc.

·         Provide effective performance management ensuring safe and effective delivery is achieved by competent personnel across the team.

·         Implement a Building Management strategy to satisfy legislative requirements and meet business goals for cost, schedule, HSE and quality.

·         Assess the team’s capability ensuring all skills required are available and competence plans are kept up to date to enable the team to achieve site demand safely on time and within budget.

·         Review, update and communicate team RAMs to ensure that the team understand hazards and work to the highest safety standard.

·         Coordinate and monitor assigned contracts to make sure service is delivered to meet each offices requirements.

·         Provide an appraisal of service delivery during reviews, informing suppliers of any delivery issues and/or improvements, allowing contract performance reviews.

·         Monitor the operation of the buildings using the building management system to optimise working conditions within the building and minimise cost.

·         Resolve any day-to-day issues with the running of buildings to minimise disruption for those working in the building.

·         Manage and forecast the office spend to achieve budget

·         Evaluate, authorise, and receipt service provider invoices, to allow payment. Assess disputed invoices with service providers to ensure contract terms and conditions are achieved.

·         Issue permits for buildings, to ensure risks and permit limitations are fully understood, to ensure work is carried out at the highest level of safety and conforms with site rules.

·         Identify opportunities and where appropriate take ownership for improvement in procedures and systems to ensure continuous improvement in buildings operations.

·         Ensure that all employees are provided with clear leadership, support, coaching and development to allow them to attain their full performance potential aligned to the requirements of each business on site.


The ideal candidate will need the following qualifications, knowledge & skills

·         HNC/HND in a Business-related field or experience in building management/facilities management

·         Knowledge of contract management in a domestic/services environment

·         Awareness of legislation associated with building management including legionella compliance, LOLER, working at height and risk assessment

·         Strong interpersonal skills, able to work with people across all levels of the organization

·         Knowledge of site systems would be preferable

·         Ability to Co-ordinate multi-disciplined teams, both internal and 3rd Party

·         Strong IT skills and ability to access and operate the building management system


The two offices are about 30 mins walk from each other, and between them have about 350 workstations between them.


The ideal candidate would be someone who is probably be a SNCO/Officer, who has a strong organizational background, and experience in the day-to-day management of a similar situation, such as a Divisional HQ and who is seeking to join an extremely professional and fast-moving organisation.
